What this site collects, the one thing it is used for, and how to have it removed. Written to be read, not skimmed past. Last revised 23 August 2026.
We collect what you type into the intake form, the live chat, the seasonal offer and the newsletter box, and we use it to reply to you, to set the free application review and to carry your file if you engage the practice. We do not sell it, rent it or hand it to advertisers. Write to hello@wguirb.com to see or delete what we hold.
What we collect, and where
- The intake form (the homepage and the contact page): name if you give it, email, phone, where the capstone stands, and your note. The form also records which page it was sent from.
- The live chat: the messages you type, the page you were on, and a session reference so the desk can reply to the same conversation.
- The seasonal offer: name if you give it, email, phone and the season in which you claimed it.
- The newsletter box (the footer and the newsletter page): your email and the page you subscribed from.
- Your file, if you engage the practice: the documents you send and the documents we draft, which may include your aim statement, instruments, consent materials and the board's correspondence. These are held to do the work and for nothing else.
Each form carries a hidden field that real visitors never see; entries that fill it are treated as automated and discarded.
What it is used for
One purpose: to reply to you, set the free application review, and carry your file through the process if you ask us to. We reply by email or phone, whichever you gave. The newsletter is used for exactly what the box says: one email when WGU's IRB process changes, and nothing else. We do not use what you send us for advertising, we do not build profiles, and we do not sell, rent or trade any of it.
Who else sees it
- Our lead and chat desk, operated on our behalf by our back-office provider, receives form submissions and chat messages so the three consultants can answer them. It holds the data for us and does not use it for its own purposes.
- Google Fonts serves the two typefaces on this site; your browser requests them from Google, which sees the request as it would for any site using its fonts. No other third-party scripts, trackers or analytics run here.
- Our hosting provider serves the pages and keeps ordinary server logs.
No one else. We do not share your information with Western Governors University or any facility unless you ask us to, for instance when we carry a site permission request on your behalf.
What is stored in your browser
The site sets no advertising cookies. It uses the browser's session storage, which is cleared when the tab closes, for three small things: whether the seasonal offer has already been shown to you in this session, whether the chat nudge has already appeared, and the chat session reference so a reply reaches the right conversation. That is all.
How long we keep it
Enquiries and chat transcripts are kept while the conversation is open and for our records of the work afterwards. If you engage the practice, your file is kept for the life of the project and a reasonable period after, so that amendments and continuing-review replies can be made from the approved version. Newsletter addresses are kept until you unsubscribe; every email carries a way to do that, and a one-line message to hello@wguirb.com works too.
Your choices
Write to hello@wguirb.com to ask what we hold about you, to correct it, or to have it deleted. We will do so unless we need to keep a record to finish work you have asked for. You can use the site without sending us anything: every page is readable without the form, the chat or the offer.
Changes
If this page changes in a way that matters, the revision date at the top changes with it, and newsletter subscribers hear about it in the same one-line email.
